VeloReply processes data under two main categories: (A) Account Information: Your name, email, business name, phone number, and password hash. (B) Operational Data: WhatsApp messages, customer contact numbers, and communication history to enable AI automated replies and real-time live chat workspaces. (C) Knowledge Base Assets: Proprietary business files (PDF, DOCX, TXT) that you voluntarily upload to train your custom AI models.

3. How We Use Data

We use processed data exclusively to provide our core services: (A) To run real-time automated AI replies on your connected WhatsApp numbers. (B) To generate vector embeddings of your business documentation inside isolated secure databases. (C) To synchronize messages on your real-time chat inbox and manage the 1-click human takeover delay panel. (D) To deliver system alerts and transactional authentication messages.

4. Account & Authentication Emails

To guarantee industry-grade security and reliability, all official authentication, platform alerts, and transactional messages are delivered exclusively through our authorized address: noreply@veloreply.app. This includes (A) Account activation/verification links, (B) Password reset tokens, and (C) Verification re-sending requests. We do not use this email address for marketing purposes.

5. Cookies & Tracking Technologies

We use essential session cookies and persistent cookies to authenticate administrators, remember workspace preferences, and ensure tenant isolation. We do not use third-party tracking scripts to sell or profile your browsing behavior. You can disable cookies in your browser settings, but it will prevent dashboard authentication.

6. Advanced Data Security & Isolation

Security is the foundation of VeloReply. We enforce strict multi-tenant isolation, ensuring your custom trained vector databases and conversation logs are completely inaccessible to other tenants. All communications between Vercel (frontend), DigitalOcean (API containers), and WhatsApp are secured via standard TLS 1.3 encryption. Internal data databases are encrypted at rest.

7. Third-Party Services

We collaborate with trusted infrastructure partners to host and scale our SaaS: (A) Vercel Inc. (to compile and serve the front-end interface), (B) DigitalOcean LLC (to host backend API compute, vector stores, and relational databases), and (C) Resend Inc. (to deliver secure transactional emails over Port 443). We do not share customer message history with any other third parties.

8. User Rights & Data Deletion

Under our privacy charter, business owners hold full ownership over their workspace data. You have the right to (A) Access and update your profile parameters, (B) Instantly delete trained knowledge chunks, (C) Pause or disconnect your WhatsApp instance to immediately stop AI auto-replies, and (D) Permanently delete your tenant account. Deletion immediately purges all associated vector databases and message histories.
